3 Printing - E-mail

2 E-MAIL

Both GUI Clients and Web OPAC contain a range of funtions, that use E-mail such as Send Orders (Acquisition Module), Send Claims (Circulation Module ), or you can send your comments to the library by using this "Feedback" button (Web OPAC).

This print will be sent as attachment. The email text is only an address of welcome.

The conditions for sending an email are the following:

Mailserver, From address and the subject line
Print Configuration
Send Type
Ensure the Patrons have Valid E-mail Addresses

2.1 MAILSERVERS, FROM ADDRESS AND SUBJECT LINE

To send a mail from the GUI-Client, the mailserver must be available for both Alephino-Server and Alephino-Applications and work with simple SMTP-log and without authentication.

The Web OPAC supports the authentification of Mail shipping (SMPT-Auth) with the PLAIN, LOGIN and CRAM-MD5 methods see IETF-Memo SMTP Service Extension for Authentication. To use this service activate the (MailAuth) section in the alipac.cfg fiel, ../etc directory, and delete the * at the beginning of the lines.

To see whether or not the Mail-Server is available from the workstation computer, can be controlled in the following manner:

open the "MS-DOS prompt"
Enter: telnet Name_Ihres_Mailservers 25
After you have confirmed, notify the Mail Server, for example:
220 demail01.exl.local ESMTP Server (Microsoft Exchange Internet Mail Service 5.5.2650.21) ready
Now enter: HELO
The server must reply: 250
To quit the session, enter: QUIT
The server reply: 221 closing connection

if it functions, the Send Mail too.

The Mailserver and the Sender address will be entered in the Alephcom.ini file, ../alephcom/tab repertory for the GUI Clients in respective workstation.
(Normally this will requested from the Setup Programm when the Clients is loaded and then it is entered in the file)

The Cataloging module of Alephino Release 5.0 comes with a new configuration dialogue that allows eMail parameter settings a simply way. For this use the main menu entry "Alephino->Options->E-Mail-Settings":

Enter the server name.
FromAddress
Enter the email address here.
MailerName
Enter the sender name instead of the actual e-mail address.

For the Web-OPAC, it is done in the alipac.cfg file, directory ../etc:

Special functions are not implemented in standard.

Enter the desired Subject line.
Mail
Enter the mailserver name here.
MailFrom
Enter the desired e-mail address. This email address also is the address for the feedback.

To use the authentification (SMPT-Auth), activate the following section by deleting the *:

Enter the method here, which is supported by your Mailserver.

Enter the user name, valid for the login (Mailserver).

Enter the passwor here, valid for the login (Mailserver).

User and Password being entered as clear text.

The subject for all other prints corresponds to the forms long name. If no long name is defined, the form intern name will be used. A long name is defined for the following files in the mabtext.eng file ( ../etc am Server directory) as default::

The address of welcome for e-mails (from client) will be defined in Mailhead.dat the file, in ../Alephcom/tab/<lng> directory

2.2 PRINT CONFIGURATION

To send E-mails from the Client, "Normal Printing" must be set.

Click on the printericon on the bottom right of the GUI and choose Normal Printing:

To define this print as default setting, set the DefaultPrintConfig paramater to 0 ( Alephcom.ini file, alephcom/tab/ directory).

2.3 SEND TYPE OF THE PRINTOUT
Set Column 4 in the Module's print.ini File to M or B

Column 4 defines whether the file will be printed (P), sent by e-mail (M), or both (B).
2.4 ENSURE THE PATRONS HAVE VALID E_MAIL ADDRESSES
Only users and vendors with a valid email address can receive e-mail messages. The patron's e-mail address must be defined in the "E-mail" field of the Address Details tab (User or Vendor).
